Policies

Deposits

Virginia Limousine requires all clients to pay a minimum deposit of 25% of the total cost of the trip, except on airport transfers. Any deposit paid will be non refundable (including any amount which exceeds the 25% minimum deposit should client voluntarily pay a greater deposit) but, the total dollar amount paid may be transferred to a future reservation for up to 6 months from the original trip date (excluding Tacky Light Tours), provided the original trip was cancelled more than 72 hours before pickup.

Standing Balance

Virginia Limousine requires a valid credit or debit card to be placed on file at the time of booking. This card will automatically be charged for any standing balance on a reservation not sooner than three days prior to the date of service, unless requested by the client. All standing balances are due three days prior to service, except on airport transfers. Local Airport Transfers are charged day of and long distance airport transfers are charged one day prior to service.

Overtime (Vehicle usage beyond the original agreement)

Virginia Limousine will charge for additional time if the vehicle is not released at the end of your scheduled reservation. The hourly overtime rate will remain the same as the per hour rate plus gratuity, service fee and fuel fee percentages for any number of hours the reservation exceeds the initially proposed drop off time. If overtime exceeds two hours, overage must be paid before the run can continue.

Overtime will only be permitted if Virginia Limousine can accomodate the extra time. If the vehicle reserved has another reservation immediately after or the driver is at his/her daily limit for driving hours then Virginia Limousine may have to impose a hard end time at the initially planned drop off time. 

Rescheduling - Excluding Airport Transfers

Virginia Limousine allows clients to reschedule or postpone reservations up to three days prior to the originial date of service. Reservations may not be rescheduled or postponed once the originial service date is three days or fewer away. Reservations may be postponed for up to 6 months from the originial service date (excluding Tacky Light Tours) and receive full transfer of deposit paid, provided the postponement was made more than three days out from the original date of service. Any postponement request made within three days of the originally scheduled service will be denied and client will recieve no refund. Airport transfers are the only exception to this policy.

Rescheduling - Airport Transfer

Virginia Limousine treats airport transfers differently from any other service type. Flights may be changed or cancelled by the airline at anytime due to no fault of our client.

Local Airport Transfers (defined as any pickup within 50 miles of the Richmond Airport “RIC”) may be cancelled or postponed up to two hours before the scheduled pickup time without any charge or additional charge to our client. Local airport tranfers cancelled within two hours of the scheduled pickup time will be charged a cancellation fee which will be 100% of the original price. Our dispatch office is not open 24 hours, therefore any early AM pickup (Early AM is defined as any pickup between the hours of 12:00AM and 6:00AM) must be cancelled by 8:00PM the night before.

Long Distance Airport Transfers (defined as any pickup or drop off more than 50 miles from Richmond, this includes IAD, DCA, BWI, ORF, CHO and other airports) may be cancelled or postponed up to 24 hours before the scheduled pickup time without any charge or additional charge to the client. Long distance airport transfers cancelled less than 24 hours but more than 12 hours before the scheduled pickup time will be charged a cancellation fee of 50% of the total trip cost. Long distance airport transfers cancelled less than 12 hours before the scheduled pickup time will be charged the full trip total.

Cancellations

All reservations (except Airport Transfers) will be charged a non refundable 25% deposit at the time of booking. Any reservation may be cancelled more than three days before the scheduled date of service and receive full transfer of deposits paid to a future reservation not more than 6 months from the original trip date. Once 6 months have passed from the originial trip date any deposit paid will be lost. Deposits cannot be redeemed on Tacky Light Tours.

Any reservation (except Airport Transfers) cancelled within three days of the scheduled trip will not be able to transfer any money paid to another date and will not receive any refunds.

Alcohol in the Vehicles

Virginia ABC laws prohibit the company from providing alcohol to clients however clients may bring alcohol of their choosing into any vehicle of ours, provided those consuming are 21 years or older. Driver is permitted to request ID if he/she believes passengers are under 21 and appear to be consuming alcohol.

Clients who spill alcohol or other beverages inside the vehicle will be subject to a cleaning fee of $250 in addition to the standard rental costs.

Food in the Vehicles

Virginia Limousine allows clients to bring snacks into the vehicles but no hot foods. We allow snack foods such as chips, cookies, crackers, etc. Any foods with sauces are not permitted.

Clients who leave a mess or leave food in a vehicle will be subject to a $250 cleaning fee in additon to the standard rental costs.

Smoking in the Vehicles

Virginia Limousine is proud to have a fleet of vehicles that are 100% smoke free. We do not allow smoking or vaping of any kind inside our vehicles. Smoking includes tobacco, marijuana, marijuana vape, nicotine vape or non nicotine vape.

Clients who smoke or vape inside the vehicle in violation of our zero tollerace policy for smoking will be fined $250 per person for the first violation and the ride will be terminated on the spot for the second violation.

Damages to the Vehicle

Virginia Limousine reserves the right to charge any client for damage he/she or their party inflicts upon a vehicle. This includes but is not limited to:

  • Scratched window tint,
  • Scratched or damaged wet bar finish,
  • Damaged TV, speakers, radio or other electronics,
  • Dented, cracked, scratched or damaged ceiling,
  • Scratched or stained flooring or carpet,
  • Ripped, torn or scratched upholstery

Should any damages to the vehicle occur, client will be responsible for replacement cost of the damaged item(s) plus labor. Client will also be expected to reimburse Virginia Limousine for any lost revenue associated with the damages and repairs.
